The problem

You are offered many software tools but do not know which will reduce work in your Singapore business.

Choose the work item and its finish point

Start with one recurring work item: an order enquiry, an inventory update or a scheduling request. Write how it enters the process, which result the next person needs and what counts as completion in your own business. Replace a broad aim such as go digital with the step that currently causes difficulty. For a fictional order enquiry, an acknowledgement could confirm receipt while the answer the customer needs remains unfinished. If you measure only acknowledgements, you have changed the task being evaluated. Name the endpoint before looking at tools. Keep separate work items separate; a demonstration of entering a stock record does not show the later enquiry or reconciliation your team also performs. You are defining a question for learning, not diagnosing every operational problem from an event listing.

Prepare a same-work card for the demonstration

Use six entries: starting information; intended endpoint; roles involved; ordinary sequence; one relevant exception; and work outside the visible screen. Record an observed difficulty and what you cannot yet explain. A suitable fictional exception might be a quantity recorded differently from the request, with the business still needing someone to decide the correction. Label all invented details. Ask whether the session allows your small example and which steps it can examine. Use the same input and completion requirement for each candidate demonstration. If one presenter ends at saving a record and another shows an answer reaching the receiving role, those are different scopes. Keep that difference visible instead of ranking their speed as though both completed the same task. Bring permitted material without uploading customer or staff records into a public demo.

Follow the task across people, including work that moves

Draw one row for each activity, with the person doing it, input needed, action, result and next recipient. Make a current-work version and a proposed-work version. Include preparation, checking, duplicate entry, correction and handover when they belong to this task; ask about a missing activity rather than writing it out of the process. A screen can become quicker for the person entering the request while another person takes on a new checking queue. Mark each activity as demonstrated, described by the presenter, or still unknown. Identify a role without deciding who in your actual business has permission to perform it. Use the existing staff-handover guide when the unresolved question is whether a second authorised employee can perform the task independently; the map here compares where the work falls.

Keep staff effort distinct from elapsed time

This arithmetic is wholly fictional and covers one completed request with the same start and finish. Before a proposed change, Person A spends three active minutes and Person B four: seven staff-minutes in total. After it, A spends two and B six: eight staff-minutes. A’s own step is one minute shorter, but the combined active effort is one minute greater. That does not establish how long the request takes from arrival to completion: the example supplies no waiting times or overlap between activities. It also omits installation and training, so it cannot establish total adoption cost. Use the illustration to ask which people and activities a claimed time reduction covers. These invented figures are no Singapore productivity norm, tested software result or prediction of savings. If a role’s effort has not been observed, leave the total incomplete.

Compare what was actually shown on the same terms

For each demonstration, keep three short records: completed steps you observed; steps explained but not shown; and unresolved conditions. Match each to the same-work card. Ask whether the input was already cleaned, the record already approved, another person available or a connection prepared before the visible sequence. Those conditions can explain why a short demonstration does not cover all your work. They are questions, not accusations that a presenter concealed a defect. Keep the existing exception guide for following a correction through approval and resumption, and the export guide for retrieving usable records when leaving a system. A feature list or an attractive report does not answer either test. If the demonstrations use different tasks or scopes, record the comparison you still need rather than choosing a winner from clicks alone.

Choose a session that can examine the missing step

Read who presents, what attendees do and whether your process question has working time. In its overview checked on 8 October 2026, SME Centre @SMCCI describes one-to-one advisory, guided diagnostics and assessments, group-based upgrading projects and capability-building workshops. Those service types help distinguish an individual business enquiry from group learning; the overview does not reserve feedback or an event place for you. A vendor demonstration may explain its product, while a process discussion may help frame the requirement. Identify which fits your missing answer and ask about the actual participation route. Check sponsorship and whether a purchase or later paid service is optional. Keep a workshop place, advisory appointment and software contract as separate commitments. An official category description or a speaker’s endorsement does not establish grant eligibility or the suitability of a particular system.

Define one authorised observation after the event

If your team agrees a small follow-up, write the work item, unchanged endpoint, sample or permitted setup, roles involved, observations to collect and person reviewing the result. Separate initial setup or learning effort from recurring work without dropping either from the decision. For the fictional request, record active time by role, corrections needed, the work actually completed and any unfinished handover. Mark estimates as estimates and observations as observations. Use the business’s actual approval and access arrangements; a public session supplies no permission to change live records. If the sample lacks the ordinary receiving role or exception, name that missing condition. A short exercise can clarify a requirement or expose work to investigate. It cannot establish company-wide savings, a stable error rate or that the tool caused every difference.

Decide from the remaining work and actual commitments

Keep a final comparison with the task covered, remaining manual activities, unanswered requirements and next responsible enquiry. Ask for the actual price, included scope, migration work, training and support terms where they affect a purchase. Use the marketing-package companion when different services or media spend make a headline price incomparable; use the export companion when continuity or leaving the system is the concern. A workshop can help you prepare these questions without settling the contract. Use Boardzip’s free business-event search after identifying the workflow and learning format. Confirm the current organiser, participant role and admission arrangements for the candidate you choose. Search access is free; an appointment or software commitment has its own conditions. Retain an unanswered requirement if no verified session can examine it.

Questions and answers

What should I bring when I cannot share customer records?

Bring a clearly fictional same-work card: input, endpoint, roles, ordinary steps, exception and work beyond the screen. State what is invented and ask whether that discussion is permitted. An event example need not disclose a live customer record.

Does a faster screen show less work for the business?

Follow the same completed task across all relevant roles. Entry time can fall while checking or handover effort rises elsewhere. Keep active staff effort, waiting time and initial adoption work distinct; missing activities prevent a complete comparison.

Can I compare two demos with different examples?

First establish which input, exception and endpoint each covers. Different scopes can teach different things without supporting a direct speed or effort ranking. Request the missing same-work comparison where the format allows it.

Does a workshop establish grant eligibility?

Use the current official programme’s eligibility and application terms for that separate question. A relevant workshop, service category or suggested tool does not establish your business’s award or acceptance.

Should the smallest number of clicks decide the choice?

Compare the result, people involved, correction and receiving steps as well as the visible actions. Fewer clicks may leave other required work unshown. Record the unanswered requirement instead of treating a count as software suitability.

When is a small exercise enough to choose a system?

State exactly which requirement it examined and which setup or activities were absent. Resolve consequential scope, migration, access, cost and support conditions through the actual responsible process. A short observation alone does not establish a complete operating or purchase decision.

Each date belongs to the linked source check. These references provide source context; a recorded date does not by itself establish a completed independent review. Current event admission is checked separately in each listing. How to read the source dates →
