Start with these checks
- A permitted fictional exception can be examined
- The session explains who corrects, decides and receives the work
- Changed records and unresolved decisions remain understandable
The problem
A Singapore SME owner sees a smooth software demo but needs to know how staff handle an exception that currently requires a manager's judgement.
Describe the exception and the next work it blocks
Choose one unusual case from the process you are trying to improve, then translate it into a shareable fictional example. State what differs from ordinary work, how the difference becomes visible and which next activity cannot yet proceed under your own process. Avoid calling every delay a software fault: an input, decision or receiving arrangement may be missing. Your exception note needs the starting state, expected ordinary next step, observed discrepancy and decision still required. Inspect the exception’s required decision and receiving action before comparing the whole system’s effort or a separate staff handover. Keep the example small enough that a presenter can identify the unresolved step instead of being asked to redesign your business in a public session.
Specify the fictional rule before following the case
This case and its internal process are entirely invented. A request calls for six units, but its entered record says eight. In the example’s own chosen process, an operator may prepare a correction and a separate manager decides whether the corrected request may proceed. The next staff role waits for that decision before continuing. These roles are assumptions for this example, not a rule about Singapore businesses, invoices, accounting or software permissions. Put them on the enquiry card before asking for the demonstration, so the presenter knows the endpoint you want to examine. Removing the mismatch changes the data; obtaining the chosen decision and making it usable for the next role are additional steps. An actual business must establish its own authority and record requirements through the appropriate process.
Identify the roles without inferring permission from a screen
Give each action a separate entry: notice the mismatch; prepare or enter a correction; decide what may proceed; communicate the resulting state; and perform the next ordinary task. Ask which role is shown for each entry and what prerequisite it needs. One person may hold several roles, but a presenter switching screens does not establish that your employees have those permissions. Keep software access separate from the business decision: being able to edit does not explain who should approve this case. Ask who receives a question that the operator cannot decide. Record the actual answer or the missing role. Do not choose broader account access as a shortcut or treat an administrator label as authority to make every operating judgement.
Follow what changed and what is still waiting
In the fictional case, an operator changes eight to six. The record can now show the intended quantity while the manager’s decision remains pending. Ask how the next role recognises that state, what information reaches the decision-maker and which part of the demonstration establishes it. Keep four observations: discrepancy identified; correction recorded; decision supplied; next work actually resumed. Record the original and changed values or the stated reason where appropriate for your permitted sample, without inventing a universal audit requirement. A saved change or a sent message answers a narrower question than an authorised decision. If the demonstration stops after editing, mark the later observations unshown; do not fill them from an assurance that approval normally happens.
Ask how an unresolved or changed decision remains visible
Extend the same fictional case only if the session permits it. Suppose the manager asks a question instead of deciding, or the request changes again while the correction awaits review. Ask which state staff would see and how they learn what remains needed. Keep a new input, a revised correction and an actual decision distinct; do not silently carry an earlier approval into different work. The presenter may describe a separate communication step or a manual review. Record that dependency rather than insisting every judgement be automated. This enquiry supplies no instructions for reversing entries, deleting history or interpreting an agreement. If the product or session cannot examine the revised case, write the specific missing condition and ask for an appropriate permitted evaluation route.
Continue through the receiving role’s next action
After an actual decision in the demonstration, ask the next role to identify the work item, permitted next step and any information still missing. In the fictional six-unit case, a visible correction and a manager’s decision still need to reach the person continuing the request. A general notification may show that a message was sent without showing which version the recipient uses or whether the intended step can proceed. Follow the sequence to the endpoint defined on your enquiry card, using only the permitted sample and role. Keep receipt, recognition and completed action as separate observations. If that receiving role is absent from the demonstration, record the limit. Use the separate staff-handover guide when independent completion by another employee is the main unresolved question.
Compare the same exception, including its human work
Give each candidate the same fictional starting mismatch, chosen approval arrangement and required endpoint. Demonstration A might show the correction and stop; demonstration B might also describe the decision message without showing the receiving action. These invented examples leave different gaps; neither proves the whole exception works. Record who performed each step, which steps were shown, which were described and which remain unanswered. Count a manual decision or external message when it belongs to the case instead of treating it as no work because it happens outside the software. A few clicks do not establish that necessary judgement disappears. Use the broader SME guide for a same-task active-effort comparison across roles. This exception record explains the route, not a predicted processing speed or business saving.
Choose the discussion and close with the exact open requirement
SME Centre @SMCCI’s provider description checked on 8 October 2026 lists guided diagnostics and capability-building workshops among its business support services. That context can help you ask for a format suited to the operating gap; it does not promise review of your example or a current appointment. Ask the actual organiser whether the session permits a fictional exception, who answers process versus product questions and what follow-up can examine an unshown step. A concise enquiry is, “This sample needs a correction, a decision and a receiving action. Which can this session demonstrate, and where would the remaining requirement be evaluated?” Save the response beside the four observations. Use Boardzip’s free SME-event search for suitable candidates and verify their actual participation terms. Leave the unresolved step visible when no verified format can examine it; event attendance does not approve a system for your company.

Questions and answers
Is the exception finished when the record is corrected?
Identify the endpoint your process actually requires. In the fictional case, the correction, manager’s decision and next-role action are separate observations. A changed quantity establishes only the correction until the other necessary steps are shown.
Should a digital tool remove all human judgement?
State which decisions your business keeps with authorised people and which work you want the tool to support. A visible manual review can be part of the intended route. An event does not decide your organisation’s authority or accounting requirements.
Does edit access mean someone may approve the correction?
Ask about the business decision and software permission separately. The demonstration may show an editable field without establishing the employee’s actual role or approval authority. Keep the responsible decision unanswered until confirmed through the appropriate process.
What if the manager asks for more information?
Record the unresolved question, who needs to answer and the state the next role would see. Ask how the actual process handles that pending case. Do not report approval, invent a fallback decision or give live-data correction instructions from a fictional exercise.
Can an external message be part of the exception route?
Ask how it reaches the right person and how the resulting decision connects to the work item and next action. Keep the message and manual effort in the record. Sending it alone does not show a decision was made or ordinary work resumed.
What if the presenter cannot show the full case?
Name the precise unshown role or step and ask whether an appropriate follow-up can evaluate it. Keep observed, described and unanswered separate. A smooth ordinary transaction or product claim does not supply the missing exception evidence.
