Singapore arts producers: an archive research image is not a cleared publicity asset
Check the permitted purpose and approval route before turning a useful historical reference into promotional artwork.

Start with these checks
- The image’s actual collection reference and stated use conditions
- A clear approval route for the intended public or commercial use
- An alternative visual plan if the collection cannot permit the proposed use
The problem
You find a Singapore archive image that helps explain your arts project and want to put it on a poster, but the collection’s research access and its permitted promotional use are different questions.
Keep the source reference intact
Record the archive identifier and page before saving an image into your production notes. Distinguish a reference used to discuss the project from an asset approved for a public poster. A colleague finding a picture online does not establish that the production may use it in its campaign.
Read the collection’s purpose restriction
National Gallery Singapore’s Rotunda archive guidance permits personal research and educational use and prohibits commercial use under that stated access policy. Requests to view originals are subject to approval, and additional copyright-holder clearances can be the user’s responsibility. These are the institution’s conditions, not an assessment of every image’s legal status.

Ask about the actual planned use
Describe the intended poster, channels and whether the use is commercial when contacting the collection’s official enquiry route. Ask whether the requested use is permitted at all before asking for a higher-resolution copy. Do not substitute a reproduction request or a research appointment for explicit clearance of the purpose.
Avoid making the whole campaign depend on an unresolved image
Keep a separate list of assets that have permission and those still under enquiry, with the responsible person and response recorded. Plan another visual approach when the stated restrictions do not fit. Boardzip’s free Singapore event search can help find arts-production learning sessions; a workshop discussion cannot override a collection’s conditions or grant rights it does not control.
Questions and answers
If I can view the image for research, can I put it on a paid-event poster?
Research viewing does not establish promotional permission. Check the collection’s stated purpose restrictions and ask through its official route about your actual use before including the image.
Does the Gallery’s approval remove every other permission question?
The guidance says additional copyright-holder clearances can remain the user’s responsibility. Keep the institution’s response and any other required permissions separate; this guide does not grant usage rights.
